How EduPod and EduPod Family handle information when you use the school service.

Your school and your information
Your school provides your account and the school records available through EduPod. The service processes account identifiers, student names and details, attendance, homework, reports, school messages and family fee records to make these features available to authorised school staff and the relevant family. Contact your school about the records it holds and its own privacy arrangements.
Requests and messages
When you submit a request or reply, your school receives the information you provide. This may include a phone number or address correction, an authorised collector’s name and relationship, an absence reason such as illness, a payment reference for a receipt request, and message text. Share only what the school needs to handle the request.
Account security and technical information
EduPod processes sign-in and security activity, including IP addresses used to limit abusive login attempts, and technical records needed to operate the service. Message-read and acknowledgement status are also stored. If you enable push notifications, the app registers a notification token with account, device-platform, language and app-version information.
Information on your device
EduPod Family stores session credentials in your device’s secure storage and keeps some school information and downloaded files locally. Signing out attempts to clear the app’s private cached information. Files you save or share outside the app remain with you and the services you choose. Optional biometric lock uses your device’s operating system; EduPod does not receive your face or fingerprint template. You can manage notification permissions in your device settings.
Service providers and sharing
Cloudflare provides hosting, data storage and service infrastructure. Expo supports mobile app updates and related technical services. Apple and Google provide device-platform services, including push delivery where enabled. These services may process device, network and technical information to provide their functions. School communications may also use email or WhatsApp providers, such as Resend or Twilio, where configured by the school. Information is shared with the relevant school and service providers as needed to operate the service; sharing a downloaded file sends it to the recipient or app you choose.
Retention and your choices
Information is kept according to its purpose, the school’s recordkeeping requirements, account and service needs, and applicable legal obligations. Different records may need different retention periods. Ask your school to correct school information, or contact us about access, correction, deletion or other privacy requests. The handling of a request depends on the information, your authority and applicable requirements. Account deletion does not necessarily remove school records that must be retained for educational or legal reasons.
